Brief

Update and create new training materials for an upcoming major software release impacting Supply Chain activities. Partner with workstream teams to design and deliver a comprehensive training suite to facilitate for adoption.

Project Synopsis

Context

MedTech Supply Chain was rolling out new software to modernize re-packing and re-labelling data management across international packaging sites — moving away from heavily manual processes that were creating quality and compliance challenges.

My Role

As the training analyst and instructional designer, my role was to build training that supported the organizational change and prepared global colleagues across varying roles to successfully adopt the new system. The biggest challenge was timing: the software was still being built out until just before rollout, which meant I had to stay agile and work in tandem with a constantly evolving product.

I built a four-phase project plan around ADDIE, with two review cycles and milestones tied to redline and WI/SOP finalization. I started in Analysis by partnering with workstream leaders and trainers to get a clear picture of the existing training and software system, upcoming changes to the system, audience needs, and define training goals — including the real friction points people were experiencing in the field. From there, I moved into Design, developing and mapping outcomes, selecting modalities,  and shaping content from existing redline WIs and SOPs into eLearning modules, vILT decks, and job aids. One of the bigger challenges identified was the software itself — it was robust and click-heavy, with little built-in guidance. To address this, I designed the modules to mirror the software's proposed layout, giving learners a structured but sandbox-like space to orient themselves and practice before ever touching the live system. In Development, I built custom-branded module templates to create familiarity for learners. I used realistic placeholders in the templates to streamline production, making an easy swap of visual assets once the final software was ready. Each module provided an interactive pathway through the software layout and functions, and assessed readiness with a simulation. While the software system and SOPs were being finalized, I worked in parallel with trainers to revamp vILT decks to include walkthroughs and prompts to reinforce the trickier concepts. Once the software was ready, I swapped out the placeholders in the materials for finalized content. Lastly, I drafted job aids were drafted to summarize the most important steps and concepts to support performance after training ended. At Implementation, everything came together — eLearning was assigned globally by role, live sessions filled in the gaps, and job aids were distributed just in time for go-live.

The Results

The training suite was an effective catalyst, effectively preparing global employees for rollout because it delivered on the outcomes. By providing practical knowledge, context, and practice, the suite facilitated the adoption of the critical update. I received unsolicited feedback from learners, such as “I loved the interactive aspect of the trainings - that REALLY helped a lot”. My teammates recognized the work as a strong example of translating a complex initiative into clear, effective learning, and my supervisor highlighted the quality of the enhancements throughout the suite.
